Data Processing Addendum

This Data Processing Addendum ("DPA") describes how Virtual Estimate processes personal data on behalf of its customers. It supplements our Terms of Service and should be reviewed with your legal counsel.

Roles

For personal data in Customer Data, you (the moving company) act as the controller and Virtual Estimate acts as the processor, processing that data only to provide the Service and on your documented instructions.

Nature of processing

We process the categories of data you and your customers submit — such as contact details, addresses, move details, inventory and survey media — for the purpose of operating the moving-company features of the Service.

Security

We maintain technical and organizational measures appropriate to the risk, including data isolation per company, role-based access with two-factor authentication and audit logging, private storage for media, and scoped, time-limited customer links. See our Security & Trust page.

Subprocessors

We use third-party subprocessors to provide parts of the Service — for example, payment processors, SMS delivery, mapping/geocoding, cloud storage and error monitoring. We remain responsible for their processing under this DPA.

Data subject requests & breach

We will assist you, taking into account the nature of processing, in responding to data subject requests, and will notify you without undue delay after becoming aware of a personal data breach affecting your data.

Return & deletion

On termination, we will return or delete Customer Data as described in the Terms, except where retention is required by law.
